You can freeze cells in Excel by using the freeze panes feature, which keeps important rows or columns visible as you scroll. Freeze panes transforms large spreadsheets from a hassle into a breeze.
Freezing panes in Excel makes large spreadsheets much easier to navigate. You can keep headers, labels, or key data visible while scrolling, which helps you avoid losing track of important information. This guide will walk you through the steps for how to freeze cells in Excel, including how to freeze rows and columns, unfreeze panes, and use other helpful view options. You’ll also see how tools like FineBI can take your data management to the next level.
You often need to freeze rows in Excel to keep headers visible as you scroll down. Here’s how to freeze the top row or freeze multiple rows:
To freeze the top row:
💡 Tip: Use the keyboard shortcut Alt + W + F + R (Windows) or Command + Option + Shift + R (Mac) to freeze the top row even faster.
To freeze multiple rows:
Note: If you freeze the wrong rows, just unfreeze panes and try again. Beginners often forget to lock the top row, which makes it hard to track headers in big datasets. Always double-check your selection before using the freeze panes command.
Freezing columns in Excel keeps important labels or identifiers in view when you scroll horizontally. Here’s how to freeze columns or freeze multiple columns in Excel:
To freeze the first column:
To freeze multiple columns:
Quick Tip: Freezing columns in Excel is perfect for keeping row labels or IDs in sight. This is especially useful for business professionals comparing large tables.
Sometimes you need to freeze rows and columns in Excel at the same time. Here’s how to freeze specific rows and columns:
Pro Tip: You can’t freeze non-adjacent rows or columns. The freeze applies to all rows above and all columns to the left of your selected cell.
If you want to remove frozen sections, follow these steps:
Shortcut: Press Alt + W + F + F to quickly unfreeze panes.
If the unfreeze panes option is grayed out, check if your worksheet is protected or if you’re in Page Layout view. Switch to Normal view and unprotect the sheet if needed.
Excel offers more than just freeze panes for managing large datasets. Here’s a quick comparison:
Feature | Freeze Panes | Split Panes | Zoom |
---|---|---|---|
What it does | Locks rows/columns in place | Divides worksheet into scrollable sections | Changes magnification |
Visual cues | Thin gray lines | Split bars | None |
Use case | Keep headers/labels visible | Compare distant data side by side | Focus on selection |
Note: In Excel Online, freezing panes is supported but more limited than in the desktop version. Advanced options like splitting panes or custom views are only available in Excel Desktop.

Number of Rows/Columns Per Page Setting
You can set the number of rows per page for the detail table and the group table, and set the number of rows per page and the number of columns per page for the cross table. Choose Component Style > Format:
If you set Number of Rows Per Page to 8 for the group table, only eight rows of data will be displayed on each page, and the rest of them need to be viewed by turning the page, as shown in the following figure.
If you set Number of Rows Per Page to 7 and Number of Columns Per Page to 4 for the cross table, only seven rows and four columns of data will be displayed on each page, and the rest of them need to be viewed by turning the page, as shown in the following figure.
If you set Number of Rows Per Page to 50 for the detail table, only 50 rows of data will be displayed on each page, and the rest of them need to be viewed by turning the page, as shown in the following figure.
When you tick Display Row Quantity for the detail table, the total number of rows will be displayed below the component.
During editing/previewing, the system displays a maximum of 20,000 records of data for performance reasons. If there are more than 20,000 records of data, you can hover the cursor over the exclamation mark to view the actual data volume in the detail table, as shown in the following figure.
